Title: Executive Assistant / Office Administrator

Location: Rosebank, Gauteng

Salary: R10 000.

Business hours: 09:00-17:00

Working days: Monday-Friday

Role:

This is predominantly an administrative role. Reporting to the Director, in this role you will be responsible for managing the diaries of the management team, drafting meeting briefs, email communication, minutes of meetings, prospecting and switchboard management. The role will provide support to the wider business. You will be given a full understanding of the company’s expectations to ensure that our solutions are delivered on schedule. You will also be expected to recognise opportunities and improve processes. You will integrate seamlessly and have direct contact with the wider team while adhering to Nsibandze Outsourcing's values.

Key Responsibilities:
• Manage Management Team’s diaries and schedule meetings and appointments accordingly.
• Assist with organization of Company special events.
• Contribute to and/or complete special projects as assigned.
• Draft meeting briefs and minutes of meetings.
• Manage email communication of shared mailbox.
• Manage Director’s diary and schedule meetings and appointments.
• Make travel arrangements where when required.
• All other duties/responsibilities as required, assisting co-workers and owners as required.
• Screen and direct phone calls and distribute correspondence.
• Manage all greeting and communication with customers.
• General office inventory management.
• Drafting of meeting briefs as well as minute taking in meetings as and when required.

Background and experience:
• Proven experience as an executive personal assistant or other relevant administrative support experience (3 years min).
• Matric / N12 qualification (must) and additional office administration qualification (desired)
• Excellent verbal and written communication skills in English.
• Proficient in Microsoft Office and related software.
• Strong organizational and time management skills.
• Ability to multitask and prioritize daily workload efficiently.
• High degree of discretion dealing with confidential information.

• Journalism background is preferred.
